Records & Reports controls the structure of every form your officers and civilians fill out.

Templates define the layout and fields of a specific record type — arrest reports, licences, warrants.

Column	Description
Template ID	Auto-assigned ID
Label	Name shown when selecting or viewing the record
Type	The record category
Created	When the template was created
Actions	Edit, duplicate, or delete

Import templates from Sonoran CAD using the button in the bottom-right.

Create a template

Open Records & Reports

CAD admin panel → Records & Reports.

Click +

At the bottom of the template list.

Fill in the details

Set the name, type, and Discord webhook (optional). Upload a record header image to appear on records and PDFs. Licence templates have additional fields — see below.

Add sections

Use Add New Section or Add Premade Section to build the layout.

Save

The template appears in the list.

Template details

Field	Description
Name	Required. The label users see
Discord Webhook	Optional. Posts a copy of submitted records to this URL
Type	Controls which fields and behaviours are available

Agency Assignment

Record templates can optionally be assigned to a specific agency. When an agency is selected, the template becomes exclusive to that agency.Units must have the matching agency selected in their unit settings to create or view records made from this template.

Agency exclusivity applies only to non-core record types such as Warrants, custom Records, and Reports.
Core record types remain visible to all appropriate units.

Behaviour

Units with the matching agency:
- Can create the exclusive record.
- Can view the exclusive record in search and lookup.
Units without the matching agency:
- Cannot create the record.
- Cannot see it in search or lookup.

Dispatcher visibility

No filter: sees all exclusive records.
Panel filter (e.g., Police): sees core records + exclusive records for agencies under that panel.
Agency filter: sees only exclusive records for the selected agency.

If an agency is deleted in CAD configuration, any templates assigned to it automatically reset to None.

Licence-specific settings

These appear when the type is Licence.

Field	Description
Expiration	Validity in RP days. Default: 1460
Max Points	Threshold before the Max Points Action triggers. Default: 15
Points Dropoff	How long demerit points stay on the licence in RP days. Default: 365
Max Points Action	What happens at max points

Max Points Action options: Nothing, Revocation, File Court Hearing, Suspension.

Charges Section	List criminal or traffic charges
Speed Section	Record speed-related data
Charges Summary Section	Summary view of applied charges
Record Link Section	Link related records together

Add Premade Section

Section	Description
Civilian Information	Pre-filled standard civilian fields
Report Header	Standard header block
Report Footer	Standard footer block

The Record Preview on the left updates in real time as you build.

Drag and drop sections to reorder them.

Duplicate or delete

Click the copy icon to duplicate, or the red trash icon to delete.

Deletion is permanent. Existing records remain, but the template won’t be available for new ones.

Search indices let you define custom searches for records — by phone number, plate, or any field.

Column	Description
Name	The search type label
Fields	The record field this search reads from
Matchers	Internal key used to match records (e.g. `phone_number`)
Record Types	Which record types this applies to (`N/A` = all)
Actions	Edit or delete

Create a search index

Open Search Indices

CAD admin panel → Records & Reports → Search Indices.

Click +

At the bottom of the list.

Fill in the details

Enter a name, optional record type, and add field/matcher pairs.

Save

The index appears in the list.

Edit or delete

Use the pencil icon to edit, or the red trash icon to delete.

Deleting an index removes the ability to search by that field. Make sure it isn’t in use.
